Meeting Venues are a favorite hunt for corporate, semi-government, government, national and international organizations looking to hold their meetings and conferences.
Very few of these organizations or offices have their own venue for holding meetings or conferences, so when they have to hold their own meeting they prefer to rent a place.
If you have been given the responsibility of choosing and finalizing a meeting venue, we can well understand and appreciate your anxiety for not only zeroing on the right venue but also for other related issues that are associated with a meeting venue.
Let us first caution you that if you are thinking your job as over simply to find a place for holding your office/organization meeting, then you are absolutely wrong.
However, we are not trying to scare you but, just making you more conversant and efficient -in case you are a first timer- in choosing the right Meeting Venues.
The first thing you must do is to get a pen and paper and put down all the things that are required for the meeting on priority basis.
Once you have put down everything in writing it will help de-clutter your mind, so that you can concentrate without much confusion.
Before you proceed to find Meeting Venues, you would better ask your superiors about the budget they have kept aside for renting a venue for the meeting and also whether the venue should include staying facilities for the guests, food and other related issues.
You must also be clear what sort of setting your office would like to hold their meeting- in; a quite outskirt of the city or within the city.
Once these issues are clear to you, you can set out finding the place for holding the meeting.
If the Meeting Venues also involve accommodation of the participants who will be taking part in the meeting, then obviously your choice will be limited to hotel, or if the meeting is being held in the city's outskirt then holiday home will be best.
Most of the hotels and holiday homes have the facilities of holding meeting and conference, so you will have little to worry.
However, do visit the conference hall of the hotel/holiday home and inspect the sitting capacity, the podium, sound system, lighting and the seating arrangement.
Remember Meeting Venues must have sufficient parking space and also transportation facility.
If the participants are coming from outside the state, you must make arrangement for transporting them to the meeting venue either from airport or railway station and also ensure that they get enough time to refresh themselves before the meeting.
You must not forget to arrange all the meeting accessories like pen/pencil, notepad, and folders with the meeting's agenda.
If breakfast, lunch and tea/coffee is being provided during the meeting, you must liaise with the hotel/holiday home for the timing it should be served in the Meeting Venues and also on what will be the menu.
