- 1). Sort the items you want to store in the binder into categories. For example, designate sections for insurance, utilities, vehicles, travel, warranties, takeout menus and personal information, such as birthdays and anniversaries. Create a section for each family member, to keep track of their personal information, such as sports team or class lists and friend contact information.
- 2). Purchase a binder, dividers and sheet protectors. Choose a binder that will accommodate all your sections and allows room to expand.
- 3). Print or write out labels for each section. Add them to the section dividers. Insert the section dividers into the binder in the order that is most useful for you. Put the sections you'll refer to the most in the front and the least used, such as appliance warranties, in the back.
- 4). Design, or download, calendar pages and pages for phone numbers and account information. For example, a page for utility information could include space to write the company name, phone number, your account number and the emergency repair number for each company. Calendar pages should include to-do and shopping list pages to keep track of tasks and supplies each month or week.
- 5). Fill in the sheets you created. Be as thorough as possible, and take the time to look up information that you don't have handy.
- 6). Punch holes in the pages you created using the three-hole punch. Insert them into the binder in the appropriate sections.
- 7). Insert the sorted papers into sheet protectors. Put two pages back-to-back in each protector to maximize space. Add these pages to the appropriate sections.
- 8). Add a pen to the binder for taking notes. If the binder does not include space to store a pen, tie one end of a piece of string tightly around a pen, and tie the other end to one of the binder rings to keep it handy.
- 9). Create a cover for the binder. Keep the binder near the telephone or in another easily accessible location.
