How to Dispatch Travel Routes

    • 1). Place a map on the wall, covering the area that you serve. If you run a trucking company, this may be the whole country. If you run a minicab firm, it may be one city. Make sure your map is at a useful scale to help you in this process.

    • 2). Cut out a photograph of each of your drivers. You can Blu-Tack this on the map to represent where each of your drivers is at any given time. When you take orders or bookings, you can see which drivers are in the vicinity.

    • 3). Move a driver immediately to his next booking once he has confirmed, even if it will take him some time to get there. Once a booking is confirmed it should be locked into the system, and by moving your driver to the location on the map, you will remove the temptation for him to run another journey in between. You will also reduce confusion.

    • 4). Dispatch your travel routes based on who is closest to the order and for whom it will be convenient. Look at the roads that each free driver would have to travel, because often a driver who is farther away but can travel on highways will be faster than one stuck on small roads. Check road conditions using the Internet, television or radio. This is particularly important when working on a national level, because weather varies widely across the nation.

    • 5). Inform your driver as to the best route, based on the information you have in your office. Having researched any problems that may arise, provide the driver with this information. Having the map will allow you to make travel route suggestions that will help him to arrive at his destination on time.
