- 1). Make the guest list. Let the graduating student take part in this by asking him who he wants to be present at this event. This guest list can include classmates, family, close friends, teachers and anyone who has helped him through out the years.
- 2). Determine the budget. Now that you have an idea of how big this event will be, determine how much you are willing to spend. Take into consideration everything from invitations, venue, food, entertainment and decorations.
- 3). Set the venue and date. Large crowds will do well in a hotel or a function room that can accommodate big parties. If you are planning an intimate gathering, you can save money by celebrating in your own home. In setting the date, you must remember that other students will also be celebrating this special occasion so be prepared by asking potential guests in advance if they can come.
- 4). Send out invitations. The invitations will serve as a prelude for the party, so customize them according to what kind of party you will be having. For an intimate gathering you can make a simple card on your computer using a desktop publishing software such as Adobe PageMaker and print them out yourself. If you don't have these types of software even Microsoft Word will do. If you are inviting only close family and friends, an email message is acceptable. For a more lavish affair, you can order fancy invitations from card vendors where you can choose from an assortment of designs.
- 5). Choose the decorations. Venue decorations can range from simple balloons and flowers to personalized centerpieces, ceiling draping, lighting effects and themed backdrop. Venue decorations must be set up a few hours before the event and you should decide if you can do them yourself or use some extra help.
- 6). Plan your menu. Your menu must be well rounded and include the main dishes, some appetizers, desserts and drinks. A cake especially made for the celebrant will also be a nice addition. A buffet type of set up will be practical so that guests can be free to help themselves. It will also save you from hiring extra waiters to serve the food and drinks.
- 7). Hire a host. A host is important to keep everything in order and going smoothly. You can also have a willing family member act as a host, or you can do it yourself.
- 8). Select your entertainment music. Hiring a band or musician is a good idea as live music will always bring a feeling of festivity to any event. Aside from music you can also show a slide show or video presentation about the celebrant while the guests are eating.
- 9). Have a photographer to capture all the special moments. If you're not hiring one, assign a family member or close friend who can do the job.
